TR Group (we, us, our) complies with the New Zealand Privacy Act 2020 (the Act) when dealing with personal information. Personal information is information about an identifiable individual.

This policy sets out how we will collect, use, disclose and protect your personal information.

Who do we collect your personal information from

We collect personal information about you from:

  • You, when you provide that personal information to us, including via the website and any related service, through any registration or subscription process, through participation in our training classes, through any contact with us (e.g. telephone call or email), or when you buy or use our services and products.
  • Your employer, manager, or training coordinator, when they arrange training, vehicle hire, or other services for you, or when they set up an account on your behalf.
  • Other companies within our group of companies, and our dealers, brokers, suppliers, and service partners.
  • Credit reference agencies, credit collection agencies, banks, and finance providers, when we assess or manage credit and payment arrangements.
  • Recruitment agencies, referees, and background checking providers, when you apply for a role with us. 
  • Government agencies and regulators, such as the New Zealand Transport Agency Waka Kotahi, where this is authorised or required by law.
  • Telematics and vehicle data providers whose vehicles report data directly to us or where a vehicle you drive is fitted with a telematics or tracking device that reports data directly to us.
  • Advertising, analytics and social media platforms, including Google, Meta and LinkedIn, about your interactions with our website, applications and advertising.
  • Publicly available sources, such as public registers and publicly accessible websites and social media profiles.

What information do we collect

We may collect personal information related to you, including your:

  • Name
  • Address
  • Contact information, including email address or other electronic identifiers
  • Date of birth
  • Billing or purchase information
  • History of interactions with us
  • Driver License Number
  • National Student Number
  • Vehicle and course preferences
  • Training history, including enrolments, attendance, progress, and results
  • IP address, device identifiers, and information collected through cookies and similar tracking technologies
  • Audit trail information collected when you sign documents electronically, such as IP address, location data, and device information
  • Location and GPS data, where a vehicle you drive is fitted with a telematics or tracking device(s)

We may also collect other information we request from you from time to time in relation to our provision of products and services to you.

If you do not wish to provide your personal information

Providing some information is optional. For example, you may wish to withhold vehicle preference information. If you withhold optional information, we will endeavour to continue to provide our products and services to you.

You need to provide certain personal information for us to be able to provide certain products and services. For example, you must provide a valid driver license if you wish to hire a vehicle.  If you choose not to provide requested information, we may be unable to provide you with the products and/or services you have requested, or we may only be able to provide them in a limited way.

Collecting your personal information from other sources

Sometimes we collect personal information about you from someone other than you. This is known as indirect collection.

The personal information we collect from these sources generally includes:

  • From your employer, manager, or training coordinator: your name, contact details, employer or branch, driver licence details, licence endorsements, course or vehicle bookings, and training records
  • From other companies in our group, and from our dealers, brokers, suppliers, and service partners: your name, contact details, and details of the products, services, or enquiries that relate to you
  • From credit reference agencies, credit collection agencies, banks, and finance providers: credit history, credit scores, payment history, and information relating to money owed
  • From recruitment agencies, referees, and background checking providers: your employment history, qualifications, references, and the results of any checks you have agreed to
  • From government agencies and regulators: driver licence and endorsement status, and other information relevant to the products and services we provide
  • From advertising, analytics, and social media platforms: information about your interactions with our website, applications, and advertising. 

When we collect your personal information from another source, this policy tells you:

  • That we have collected your personal information, and the sources we collect it from, as listed above
  • Why we collect it, as set out in the section titled “How we use your personal information”
  • Who we may share it with, as set out in the section titled “Disclosing your personal information”
  • TR Group Limited is the organisation that collects and holds your personal information
  • Where the collection is authorised or required by or under law, the particular law we rely on, and whether providing the information is voluntary or mandatory
  • Your right to access and correct your personal information, as set out in the section titled “Accessing and correcting your personal information”. 

How we use your personal information

We will use your personal information to:

  • Verify your identity
  • Provide services and products to you
  • Market our services and products to you, including contacting you electronically (e.g. by text or email), and using your information to deliver relevant advertising through platforms such as Google Ads and social media.
  • Improve the services and products that we provide to you
  • Undertake credit checks of you
  • Bill you and to collect money that you owe us, including authorising and processing credit card transactions
  • Respond to communications from you, including a complaint
  • Conduct research and statistical analysis (on an anonymised basis)
  • Protect and/or enforce our legal rights and interests, including defending any claim
  • To manage, locate, service, and protect our vehicles, support safety, driver training, and fleet reporting where a vehicle is fitted with a telematics or tracking device
  • For any other purpose permitted by the Act, for example for any purpose authorised by you
  • TR Group may use your personal information for direct marketing, including via email, SMS, and social media platforms. You can opt out at any time by clicking ‘unsubscribe’ in our emails, adjusting your social media ad settings, or contacting us at [email protected] 

Disclosing your personal information

We may disclose your personal information to:

  • Another company within our group of companies
  • Any business that supports our services and products
  • Third party advertising platforms such as social media, including Google, Meta (Facebook and Instagram) and LinkedIn. For the purposes of delivering targeted advertisements and analysing effectiveness of campaigns
  • A credit reference agencies such as Equifax and Creditor Watch for the purpose of credit checking you, or a credit collection agency for the purposes of collecting money that you owe us.
  • Your employer, manager, or training coordinator, where they have arranged training or other services for you, including your enrolments, attendance, progress, and results
  • Third party service providers that we engage to deliver internal processes and services, where access to your personal information is needed to perform those services
  • Our document management services (DocuSign, Box) for the purposes of onboarding and completing agreement forms, including your name, email address, and contact details, and the audit trail information needed to record an electronic signature
  • A person who can require us to supply your personal information (e.g. a regulatory authority)
  • Any other person authorised by the Act or another law (e.g. a law enforcement agency)
  • A business that supports our services and products may be located outside New Zealand.  This means your personal information may be held and processed outside New Zealand.

Information Collected Automatically Through Tracking Technologies

When you interact with our services, we (and our third-party partners, including social media and marketing networks) automatically collect certain Personal Information through cookies, web beacons, pixels, and similar tracking technologies.

This information may include, but is not limited to:

  • Identifiers: Your IP address, unique device identifiers, account usernames, and email addresses (where provided or associated with your session).
  • Geolocation Data: General or precise location information derived from your IP address or device settings.
  • Commercial & Online Activity: Information about your interactions with our website, applications, advertisements, and social media plug-ins or integrations.

We use this data to analyse site traffic, remember your preferences, and deliver personalized content. Additionally, our social media marketing partners may use these cookies to collect data about your online activities over time and across different websites to serve you targeted advertisements

Retaining your personal information

We keep your personal information for as long as we need it for the purposes set out in this policy, and for as long as we are required or permitted to keep it under the Act or any other law. 

Internet Use

If you follow a link on our website to another site, the owner of that site will have its own privacy policy relating to your personal information.  We suggest you review that site’s privacy policy before you provide personal information.

Some of our web pages may use “cookies” and other tracking technologies to collect information about website activity and help you navigate the website. Cookies are small pieces of information stored on your computer, not on our site. Some cookies and other technologies may serve to recall personal information previously entered in your web browser.  Most browsers allow you to control cookies, including whether or not to accept them and how to remove them. You may disable cookies by changing the settings in your browser, although this may mean that you cannot use all the features of the website.
